About the Role
The Conference Content Executive is responsible for managing the end-to-end conference content management for Elsevier-organized conferences. This role acts as a key onsite representative of Elsevier and serves as a primary liaison between the Conference Chair, committee, invited speakers, internal stakeholders, and customers to ensure that the conference program and materials are accurate, timely, and of high quality.
This position also supports effective program design within operational constraints (time, space, poster capacity), tailors reports and shares feedback to improve future editions of the conferences.
Responsibilities
1) Conference Content & Program Management
- Confirm and maintain the proposed program structure to ensure it works within constraints such as time, venue/room availability, scheduling, and poster space.
- Coordinate session and speaker content requirements with the conference chair/committee
- Ensure that content adheres to agreed formats and standards.
2) Abstract Management & Review Process
- Manage the abstract management workflow, including collection, organization, and tracking.
- Manage the review process, ensuring clear instructions, timely reviews, and appropriate documentation.
- Compile and report review outcomes and ensure decisions are communicated accurately
3) Conference Materials Production
- Manage content development and production of conference materials, ensuring quality, consistency, and timely delivery.
- Coordinate development and finalization of deliverables such as:
- program documentation and speaker materials
- session content and speaker instructions
- abstracts lists and related outputs
- conference content packs and printed/digital materials
4) Stakeholder Liaison & Deadline Ownership
- Act as a main Elsevier liaison to the Conference Chair, committee, and invited speakers for conference content.
- Proactively collaborate with internal functions (e.g., project teams, marketing, editorial/content production, sales and customer support) and external partners to ensure deadlines are met.
- Ensure authors and stakeholders have all information required (templates, guidelines, schedule, speaker instructions).
5) Reporting & Continuous Improvement
- Produce Management Information Reports (MIRs) including:
- conference content status
- feedback and insights gathered
- risks, issues, and process improvements
- Use conference feedback to support improvements for future conferences and content operations.
6) Onsite Conference Support & Representation
- Provide onsite support at conferences and represent Elsevier professionally.
- Troubleshoot and resolve content-related issues quickly onsite (e.g., schedule/content changes, speaker readiness, room/session constraints).
7) Travel
- Travel to 5–6 conferences annually to support onsite responsibilities.
Requirements
Education: Bachelor’s degree in any disciple
Experience: 3–4 years of work experience in project coordination involving multiple stakeholders and strict deadlines or customer service and support
Experience that is beneficial (preferred): Exposure to abstract handling, peer review coordination, academic conference programming, or content production workflows
Strong experience managing complex projects
Demonstrated ability to handle multiple stakeholders, deadlines, and detailed documentation.
Strong customer service/support background and experience
Strong familiarity with processes such as abstract handling, review coordination, and conference content production (or transferable experience in similar workflows).
Proficiency with office productivity tools and project tracking systems (e.g., Microsoft Office, shared drives, task trackers).
